Ubidesk – The Comprehensive Collaboration Solution

ss-ubidesk

Ubidesk is a workspace application that makes it easy to collaborate with coworkers from any computer, using any browser, at any time. Whether you work for a small to medium sized company, a school, community group, or a nonprofit organization, Ubidesk can make communication a more fluid process and help groups stay productive when working remotely on a project. The application itself offers users hundreds of helpful tools, including real-time updates, email notifications, discussion boards, group calendars, task logs, and an online rich-text editor.

Signing up for Ubidesk takes just 60 seconds, after which you can get started collaborating with friends and colleagues. To start working on a project, create a new “space.” From there, you can invite people to join your project, share documents, assign tasks, and participate in discussions. With Ubidesk’s unique notepad feature, you can jot down notes, ideas, or questions about a particular document directly alongside the document itself and save those notes for future use.

Ubidesk’s simple interface and wide range of project management features make it an application that nearly any business could benefit from, while some of its more unique functions like notepads and group calendar settings help it stand apart from other online collaboration tools. Because of this, Ubidesk is definitely an application we would recommend to anyone looking for a better way to work efficiently in an online setting.

Practical Uses:

  • Collaborate with coworkers on an upcoming project
  • Get feedback on a presentation without emailing it to dozens of people
  • Receive email notifications when a due date is nearing
  • Keep all information related to a project in one centralized location

Insider Tips:

  • “Hidden Projects” feature keeps high security projects protected from other users
  • Collaborate on documents with others, and let Ubidesk keep track of who made which revisions
  • Edit Microsoft Office documents online without saving anything to your computer
  • Import or export group calendars to or from iCal

What we liked:

  • Ability to assign project leaders to specific workspace projects
  • Email notifications can be adjusted based on individual needs
  • Notepad feature makes it easy to incorporate notes or ideas into an existing file

What we didn’t like:

  • Ubidesk does not support RSS feeds for individual projects
  • Understanding the difference between “Files” and “Docs” on Ubidesk could be difficult for new users
